We read the liability policy from the document you upload and the insurer’s general terms where available. For insurers that run a verification form (Warta, Generali, Compensa, Euroins), we confirm the policy at the source. Fraud reports from forwarders are a separate source of warnings.

Answers to your questions about using Certica.

What does Certica check?

Certica gathers company details, VAT status, transport licences, contact information and vehicle liability insurance data, depending on what is available in the selected country. Results include checks, warnings and source data. You can also upload a carrier liability policy: we read its terms, compare them with a specific transport order and, for selected insurers, confirm the policy at the source. We also check our fraud report database. The decision to work with a carrier remains yours.

Where does the carrier data come from?

We use registers in the carrier’s country of registration. In Poland, these include KRS, CEIDG, KREPTD, the VAT whitelist and UFG. We check EU VAT status in VIES and contact information using email domain data. Each result shows the sources and available data. You upload the carrier liability policy as a file, and for selected insurers we also confirm it through the insurer’s verification form.

Is data retrieved again for every check?

Every new verification retrieves data from the registers for the selected country. A saved result reflects the data at the time of that check and does not update automatically. A fresh retrieval does not mean the register has already published the latest change. If a source is unavailable, we show this in the result.

How does policy analysis and transport order comparison work?

Upload the carrier liability policy and Certica extracts its terms, including validity dates, territorial cover, insured amounts and restrictions. Then paste your transport order or enter its details manually. Review the extracted details before comparing them. The result highlights matches, discrepancies and points requiring confirmation. You can reuse an analysed policy for further orders. Every extracted term comes with a verbatim quote from the policy or general terms. For insurers that run a verification form, we confirm the policy directly with them. Without that confirmation, the result assesses the document.

How do credits work and what does each check cost?

Check your first 20 carriers for free after registration. Then top up your shared team balance. Carrier verification: 10 credits. Policy analysis: 5 credits. Verification and policy analysis together: 15 credits. Comparing orders with an analysed policy is included in the policy analysis. You see the price before starting.

Do I need to commit to a monthly number of checks?

No. Buy a credit pack upfront and use it whenever you need it. The price per credit depends on the pack size. Any credits you do not use during a month stay in your account.

Do purchased credits expire?

No. Purchased credits do not expire at the end of the month and have no expiry date. Buy another pack when you need more checks.

Do I pay separately for each team member?

No. Invite as many users as you need to one organisation at no extra charge. Your team shares a credit balance, and an administrator manages access.

Can I connect Certica to my TMS?

Yes, we provide a public REST API. Your system can submit carrier details and receive verification results, structured data, findings and a PDF report. We agree the scope with you and your TMS provider. API access does not mean there is a ready-made integration for every system.

Are the same checks available in every country?

No. The map shows countries with national registers and those with basic checks: VIES and email domain. Basic checks do not use credits from your pack, but your account must have a positive balance. Select a country on the map to see its coverage.

Do you check vehicle liability insurance validity?

Yes, in countries where we use a vehicle liability insurance register. We need a valid number plate. The available data and ability to confirm cover depend on the country and the register’s response. Vehicle liability insurance and carrier liability insurance are separate checks.

Why do I select the transport type and vehicle weight?

We check the carrier’s licences against the transport you are assigning. Domestic and international transport may require different licences. In Poland, the maximum authorised mass of the vehicle or vehicle combination also matters, so you select it before running the check.

Do you confirm the liability policy directly with the insurer?

Yes, for insurers that offer a policy verification form: Warta, Generali and Compensa in Poland, and Euroins in Bulgaria. We submit the request through the insurer’s official form, receive the insurer’s answer and attach it to the result as evidence. For other insurers, the result clearly shows that cover was assessed from the policy and general terms.

Does Certica have a fraud database?

Yes. Forwarders report incidents in Certica: impersonation attempts, stolen loads, fake emails. Each report refers to a specific tax ID, email address or number plate and can include documents or correspondence. We show warnings from the database in the app and notify customers who work with the reported carrier.

Is a Certica result proof of due diligence?

Yes. The report documents what was checked, when and in which source: the outcome, rules, source data and timestamps. For Polish carriers we download the original register documents the way a forwarder would: the KRS extract, the CEIDG printout, the VAT whitelist confirmation, REGON and KRZ data. We also download register documents in Slovakia, Lithuania and Slovenia, among others. You can pass the report to your customer, insurer or auditor.
