Italian transport licence check: REN, Albo and certified copies
To check an Italian transport licence, identify the haulier by Partita IVA or the appropriate fiscal identifier. Use the public REN goods-transport search on Portale dell’Automobilista, then compare the operator, authorisation status, Community licence and certified copies with your booking. Albo registration and the Community licence are different findings. A company existing in a register is not complete carrier verification.
This is a manual register guide for forwarders and shippers checking an Italian operator before assigning a load. It is not an application for a licence or a driver qualification guide.
REN, Albo and the Community licence answer different questions
REN, Registro Elettronico Nazionale, is Italy’s national electronic register of road transport undertakings. Albo Nazionale degli Autotrasportatori concerns registration for carriage of goods for third parties. A Community licence concerns the relevant international road haulage operations. Do not treat an Albo registration number as a Community licence number.
| Record or document | What to establish | What it does not establish |
|---|---|---|
| Albo registration | Operator registration number and published status | Community licence scope, cargo insurance or contact identity |
| REN authorisation | The matched undertaking and published authorisation status | Who actually sends the truck for this booking |
| Community licence | Holder, number and validity for the relevant operation | Every additional requirement for cabotage or a non-EU route |
| Certified copy | The copy accompanying the motor vehicle where required | Ownership of the truck or availability on your pickup date |
Collect the identifiers before opening the search
Request the legal name, Partita IVA, legal form, registered province and licence documents of the actual haulier. Partita IVA is an eleven-digit Italian VAT identifier; retain leading zeroes. A standard Italian VAT number includes IT before those digits. Codice Fiscale is a separate fiscal identifier and can differ, particularly for a sole trader.
Also record route, dates, maximum authorised vehicle or combination mass and the allocated truck. If a forwarder or another carrier arranges a subcontractor, obtain the actual haulier’s details too. A trading name or group logo is not a reliable entity match.
How to search REN and open the operator record
1. Open the goods-transport search
Open Ricerca Imprese iscritte REN: Trasporto Merci on Portale dell’Automobilista. Choose Societa for a company or Ditta Individuale for a sole trader. The separate Trasporto Persone search concerns passenger operators.
2. Enter the right identifier
For a company, enter the eleven digits in P.IVA and select Ricerca. You can also search by Numero Iscrizione REN. If searching by Denominazione Impresa, select the province required by the form. Do not remove leading zeroes.
For a sole trader, use the Ditta Individuale form and the fiscal identifier requested there. If the company search has no result, establish the legal form and obtain the correct Codice Fiscale before concluding that the operator has no authorisation.
3. Match the result and open Dettaglio
Compare Denominazione Impresa, Partita IVA and Sede Legale with your order. Read Stato Autorizzazione and Tipo Autorizzazione. Open Dettaglio for the matching entity, not a company with a similar name.
ATTIVA describes an active authorisation. Tipo Autorizzazione describes its category. Continue to the actual licence and copy information rather than treating one active status as approval for every route.
What to read in the REN detail and certified-copy list
Read the copy list separately from the headline vehicle count. It can have multiple pages. The number of rows visible on one page is not automatically the total number of active copies.
A published vehicle count does not identify the truck that will arrive or its availability. Request the allocated motor vehicle’s current document and confirm the operating arrangement, including rental or subcontracting. A transport manager is not necessarily the dispatcher negotiating your load.
| Field | Meaning | Compare with |
|---|---|---|
| Numero Iscrizione REN | National register identifier | Matched operator |
| Numero Iscrizione Albo / Stato Iscrizione Albo | Albo registration and status | Operator documents |
| Numero Licenza Comunitaria | Community licence number | Licence scan and planned operation |
| Data Scadenza Licenza Comunitaria | Licence expiry | Entire transport period |
| Numero Veicoli | Published vehicle count | Context for the operator’s offer |
| Gestore | Transport manager | Operator information, not necessarily the booking contact |
| Elenco copie conformi: Stato and Data scadenza validità | Copy status and expiry | Required current vehicle document |
How to check Albo without confusing it with Regolarità Imprese
Use Ricerca Imprese Iscritte on the Albo portal. Match the Albo registration number, or choose the relevant company or sole-trader fields. For a company search, have Partita IVA / Codice Fiscale and the province ready. Compare the returned entity and registration status with the REN record and documents.
Regolarità Imprese is a separate service about contribution compliance. It has registration and authentication requirements for entitled users. The public Albo search and an ATTIVA REN result do not establish that this separate check has been completed. Follow the service’s access conditions when it is relevant to your contract.
When the Community licence and copy matter
For ordinary international EU goods carriage for hire or reward using vehicles or combinations over 2.5 tonnes, the Community licence is generally required. Articles 1 and 4 of Regulation 1072/2009 set out scope, exemptions and certified-copy requirements. Work out the maximum authorised mass and nature of the haul before applying a threshold.
Italian Albo and REN requirements are separate from that international threshold. Domestic operations, own-account carriage and special exemptions need their applicable rules checked. A missing Community licence is not the same finding in every operation.
The certified copy accompanies the motor vehicle and covers its combination. A trailer registered in another country is not automatically a second licensed operator. A Community licence alone does not resolve cabotage limits or additional permissions on a route involving a non-EU country.
Example: an Albo certificate arrives without a Community licence
Illustrative example. You are booking an Italian haulier for an ordinary paid Italy-to-Germany haul with a heavy truck. The contact sends an Albo certificate and says the firm is registered. That establishes a different point from the Community licence required for the operation.
Search REN for the actual operator. Compare its current Community licence and request the necessary certified copy for the motor vehicle. If another operator supplies the truck, identify it and repeat the relevant checks. Resolve the authorisation before releasing loading instructions.
What to do with no result, expired dates or missing data
Keep the identifier, status, licence number, relevant dates, documents and check date with the order. An old screenshot shows an earlier observation. Recheck relevant items if the operator, truck or transport dates change.
- No result: recheck the identifier, leading zeroes, legal form and goods search.
- Wrong company: establish the actual operator and the role of each contract party.
- Expired or unsuitable licence: obtain current appropriate authorisation and verify it.
- Incomplete copy list: inspect the remaining pages and the specific document supplied.
- Unavailable service: record the check as unresolved and repeat it or seek authority clarification.
Continue beyond transport authorisation
REN and Albo do not establish the identity of the sender or the cargo cover in a liability policy. Check company identity, VAT, independent contact details and the policy against the goods, territory, dates and subcontracting arrangements. Motor liability insurance and carrier liability cover for the cargo are separate questions.
Use the carrier documents checklist and carrier liability insurance guide. For a different operator country, return to the European register guide.
Keep the register check in your carrier review
Certica supports carrier checks and policy analysis in the app. This article describes manual Italian REN and Albo searches; automated Italian licence coverage is not part of the current public country offering. FAQ
Can I search REN without an Italian carrier account?
Yes. The public goods-transport search has company and sole-trader entry points. Use the correct fiscal identifier and retain leading zeroes.
Does Albo registration replace the Community licence?
No. They concern different findings. Check the authorisation required for the route and operation, and compare the licence and necessary certified copy with the actual operator.
Is Partita IVA always the same as Codice Fiscale?
No. Ask for the identifiers and legal form. In particular, a sole trader may have a separate Codice Fiscale and needs the appropriate search form.
Does Numero Veicoli prove which truck will arrive?
No. It is published operator information. Obtain the allocated motor vehicle’s documents and confirm who operates it.
Is the public Albo search a contribution-compliance check?
No. Regolarità Imprese is a separate service with its own access conditions. An Albo listing does not establish that this separate check was carried out.
