How to run a VIES carrier check step by step

VIES is the free EU Commission tool at VIES. No login is required.

Step 1: open VIES and select the member state

Go to VIES. Select the member state from the country dropdown that matches the VAT prefix on the invoice, for example PL, RO, or DE.

Step 2: enter the VAT number without the country prefix

Type the VAT number in the number field, leaving out the two-letter country code since that is handled by the dropdown you already selected. Submit the form.

Step 3: read the valid flag and the registered name

VIES returns whether the number is currently valid and, for most member states, the registered name tied to it. An inactive or invalid result on booking day should pause automatic approval.

Step 4: compare the name to your other documents

Match the VIES name to the invoice header and to the company register name in KRS, CEIDG, ANAF, or ARES. A different name on the VAT number than on the invoice is a signal to ask before you release payment details.

Step 5: check the local VAT list where one exists

For Poland, also check the VAT whitelist. For Romania, also check the ANAF VAT payer register. A conflict between VIES and the local list is worth resolving before you proceed.

Step 6: save the confirmation with the date

Save the VIES confirmation screen or PDF with the date you checked it, since VAT status can change between bookings.

What the check means

VIES (VAT Information Exchange System) is the EU Commission service to validate VAT registration for cross-border EU trade. A VIES carrier check returns whether the number is valid at query time and the registered name when the member state returns it.
